Who we are

This website, southcoteconstruction.com, is operated by Southcote Construction & Consulting (“Southcote”, “we”, “us”), an exterior contractor based in Ancaster, Ontario, Canada. This policy explains what personal information we collect through the website and when you contact us, why we collect it, and the choices you have. We handle personal information in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect

We only collect what we need to answer your enquiry and do the work you ask us to do:

Information you give us through the estimate form, by phone, by email or by text: your name, phone number, email address, the service you are interested in, and any details you share about your project or property (for example the address and photos).
Your consent choices, such as whether you agreed to receive text messages about your estimate request, and when.
Basic technical information collected automatically when you visit the site: your IP address, browser and device type, the pages you view and how you arrived. This comes from cookies and similar tools described below.

We do not knowingly collect information from anyone under 16, and we do not ask for payment card details through this website.

How we use it

To reply to your enquiry, arrange a visit and prepare an estimate.
To carry out, schedule and follow up on work you hire us for, including warranty service.
To send you text messages or emails about your estimate request and project, if you agreed to receive them.
To keep business records, meet our legal and tax obligations, and resolve any disputes.
To understand how the website is used so we can improve it.

We do not sell or rent your personal information.

Text messages

If you tick the consent box on our estimate form, you agree to receive non-marketing text messages from Southcote Construction & Consulting about your estimate request and project updates. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Consent to text messages is not a condition of getting an estimate.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third parties.

Who we share it with

We share personal information only when it is needed to run our business, and only with:

Service providers who help us operate, such as our website, form and customer-management platform (HighLevel / LeadConnector), our email and phone providers, and analytics tools. They may only use your information to provide their service to us.
Suppliers and trades working on your project, where they need details such as your address to deliver materials or complete the work.
Authorities, when the law requires it.

Some of our service providers store data outside Canada, including in the United States. When that happens your information is protected by contract, but it may be accessible to authorities in that country under its laws.

Cookies and analytics

The website uses cookies and similar technologies to make the site and estimate form work, to remember basic preferences, and to measure visits (for example with Google Analytics). Fonts are loaded from Google Fonts, which receives your IP address when a page loads. You can block or delete cookies in your browser settings; the site will still work, although some features such as the form may not.

How long we keep it

We keep enquiry details for as long as needed to respond and follow up, and project records for as long as your warranty applies and our legal and tax obligations require. After that we delete or anonymize it.

How we protect it

We use reasonable safeguards for the sensitivity of the information, including access controls on our accounts and providers that encrypt data in transit. No method of sending or storing information online is completely secure, so please do not send us sensitive information such as banking details by email or text.

Your choices and rights

You can ask to see the personal information we hold about you, and ask us to correct it.
You can withdraw consent to text messages (reply STOP) or emails (use the unsubscribe link or tell us) at any time.
You can ask us to delete your information, unless we need to keep it to finish your project or meet a legal obligation.
